What this covers
This explains what AI Hockey collects about you and your player when you book a skate or make an account, what we do with it, and how to get it changed or deleted. It applies to aihockeydev.com.
What we collect
When you book or set up an account:
- Your details: your name, email address and mobile number.
- Your player's details: their name, their age or birth year, and the level or last team you tell us, which is optional.
- The booking itself: which session and nights, the amount, the reference code, whether it is paid, and when.
- Your agreements: that you accepted the waiver and the photo release, and the date and time you did.
- If you ask about a private: the same contact details plus whatever you write in the message.
We do not ask for, and have no use for, anything else — no address, no school, no medical file, no payment card numbers.
How we use it
- To run the booking: hold the spot, take the payment, and email you the confirmation.
- To contact you about a skate you have booked, including if a night is called off.
- To give our coaches a roster, so they know who is on the ice and who is not to be photographed.
- To email you when new sessions open, only if you ticked that box. You can untick it any time, and every one of those emails tells you how to stop them.
We do not sell your information, and we do not use it for advertising.
Who else sees it
Running a website means other companies hold the data on our behalf. Each one only gets what it needs:
- Supabase — our database and sign-in system. This is where everything lives. Their servers for this project are in the United States (Oregon).
- Vercel — runs the website itself.
- Resend — sends our emails, so it handles your email address and the contents of those emails.
- Google — if you sign in with Continue with Google, Google confirms your name and email address to us. Separately, a copy of each paid booking is added to a private spreadsheet we use for our own records.
Nobody else. We do not pass your details to other hockey organisations, sponsors or advertisers.
Payments
Payments are by Interac e-transfer, through your own bank. We never see or store your banking details, and this website never handles a card number.
Cookies and tracking
The site sets one cookie, and only once you sign in: the one that keeps you signed in. There is no Google Analytics, no advertising pixel and no third-party tracking of any kind on this site.
Photos and video
Photos and video of a player are only used if you tick the photo box when booking. It is optional: you can book without it. It is set out on the waiver page, including how to withdraw it.
How long we keep it
While your family skates with us. Booking and payment records are kept for six years after the tax year they belong to, because the Canada Revenue Agency requires it. Ask us and we will delete anything we are not required to keep.
Children
Accounts and bookings are made by a parent or guardian, not by the player. A child's information reaches us through you, and the consents are yours to give and to take back.
Your rights
Under British Columbia's *Personal Information Protection Act* you can:
- ask what we hold about you and your player, and get a copy;
- have anything wrong corrected;
- withdraw a consent you gave, such as photos or new-session emails;
- ask us to delete what we hold, where we are not required to keep it.
Email us — the address is at the bottom of this page — and we will answer within 30 days, which is what the Act asks of us.
Security
The database is locked down so that a signed-in parent can only ever read their own family's rows, and the browser cannot write to it at all: every change goes through the website's own server. Access to the back office is limited to named email addresses.
No system is perfect. If something ever went wrong with your information, we would tell you.
Changes
If we change how any of this works, we change this page. It is dated by the last time it was edited in our back office.
